Edelman is seeking a collaborative teammate and Event Specialist to join our U.S. External Affairs team supporting our robust calendar of produced events. This is an exciting opportunity to join Edelman's world-class marketing department, which aims to build and maintain the Edelman brand and reputation and drive growth.
In this role, the Event Specialist will support the Director, Experiential Marketing in the planning and production of a full annual calendar of events with the principal aim of supporting the firm's growth strategy. These events include virtual, hybrid and in-person formats, as applicable (approx. 3-5 per month). You will be responsible for supporting the technical design, delivery and implementation of Edelman's events from concept to completion to performance analysis, including travel and staffing as relevant.

Key responsibilities:
Support the Director, Experiential Marketing in the development and management of Edelman's annual calendar of U.S. events in line with the goals of the business and its stakeholders
Support event production from concept to completion, including managing budgets; suppliers; guest list management; creating and maintaining project plans; developing event collateral; and internal stakeholder management
Organize production logistics including technical production, programming, content, speaker management, catering and venue partners, and branding collateral
Assist with on-the-ground activities at in-person events and tentpole conferences where relevant, assisting in stakeholder management (including VIPs)
Working in tandem with Edelman's in-house production team to produce studio-quality virtual events, consistently researching how to upscale productions
Coordinate with our global CRM lead and CRM systems on invitation management
Work proactively with internal stakeholders to coordinate attendees, guest list management, invitation process and post-event communications as part of a broader client, prospect, and influencer engagement strategy
Collaborate with both in-house and external designers to develop and produce collateral to support events for internal and external audiences
Collaborate with our global social media team to assist in development of pre- and post-event social collateral, as well as other social campaigns as needed
Coordinate post-event analysis and collation of attendee feedback
Financial administration and budgetary management
Maintain "best practices" for all Edelman US events while staying on top of trends in this space
Essential requirements:
Demonstrable events experience - minimum 2 years, with experience of delivering programs at marketing industry events
Outstanding organizational skills and an impeccable attention to detail
Excellent written and oral communication skills
Strong stakeholder management skills at all levels of the business, including with VIPs
Friendly and approachable, with a positive and flexible attitude to work
Understanding of changing events industry landscape, technical and production approaches, with a keenness to identify new ways of working
Experience with graphic design tools such as Canva to create event assets such as invitations
A propensity to easily picking up and using digital event platforms (i.e Zoom, Microsoft Teams, Vimeo, HubSpot, Quicklink, etc.)
Advanced administration skills, including Microsoft Office skills including Teams, Word & Excel
Experience using a CRM for events, such as Microsoft Dynamics, HubSpot or Marketo
Creative, strategic thinker, with a demonstrated record of accomplishment of both developing and executing successful integrated campaigns
Comfortable working in an entrepreneurial environment
