The Meetings & Events Management team provides global event management services for complex employee and client programs that require coordination of external events, such as sales meetings, client conferences, or investor conferences. Event teams are located in major cities across the U.S., the Americas, Asia Pacific and EMEA. Event Managers work in close partnership with colleagues across the lines of business to organize and manage all aspects of key senior management and client related events. Primary responsibility of the Corporate Meeting Specialist position is to support the Meeting & Events team as needed including sourcing, contracting, supplier relationship, logistics, registration management, planning and/or execution of meetings/events across all lines of business.

Assist with a variety of cross-functional tasks including all aspects of the meeting registration process, support meeting managers and coordinate production aspects of events (i.e. cross check rooming lists, arrival departure manifests and other reports, create name tags, meeting material production).

Position responsibilities include websites and attendee management communication, report generation, data entry, proofreading, name badge production, client follow up. Assist meeting planners as needed and provide on-site coverage of events where appropriate.

Responsibilities:

  • Support Meeting Planners and Meeting Specialists with various meeting planning aspects

  • Attendee Management Field calls and e-mails from meeting attendees regarding questions about the meeting, travel, how to register, or changes to their registration. Send invitations and other communications; follow up with invitees who have not registered.

  • Manage hotel rooming lists including changes to reservations, additions and accuracy of lists

  • Manage air reservations working closely with air agents on changes and deviations

  • Ensure accuracy of Web Registration data by pulling standard and custom reports and quality checking.

  • May be responsible for one or more of the following things; venue research and data compilation, name badges, tent cards, packing of travel desk, cross check rooming lists

Qualifications

  • Customer Service oriented.

  • Strong oral and written communication skills.

  • Highly organized, strong analytical skills & ability to problem solve.

  • Good time management skills a necessity.

  • Ability to multi-task.

  • Well rounded meeting planning industry knowledge and/or prior registration management experience a plus.

  • Attention to detail, accuracy.

  • Ability to deal with all levels including senior management,

  • Excellent computer skills including Microsoft Office. Word, Excel, and Internet (Access a plus). Strong emphasis on Excel. Some HTML knowledge and/or experience in creating web-sites helpful.
