RESPONSIBILITIES:

GENERAL SUPPORT TO STAFF:

In coordination with the Assistant Director of Advising, provide primary front desk reception at the Bellevue Eastside Leadership Center (ELC) 2-3 days/week
As a member of the Undergraduate Student Success Team serving UW Bothell and the ELC, contribute to the Teams success through a variety of administrative tasks
Respond to requests from staff and students via email and phone
Develop creative marketing strategies and ideas for outreach campaigns, information sessions and other admissions events
Coordinate, plan and schedule outreach admissions events for undergraduate School of Business programs in consultation with the Assistant Director of Advising (e.g., Zoom scheduling, room reservations, food forms, and coordinating schedules with external partners)
Assist with new student orientations, advising workshops, and student retention events
Administrative tasks coordinating and managing schedules for meetings, workshops, conferences, events, guest speakers, recruitment activities, and other events for the student success team to include attendance of events and attendee follow-up.
Daily communication with staff and students by phone and email

OFFICE SUPPORT

Provide coverage of the Bellevue ELC front desk and staffing in the UW Bothell School of Business office
Track events and administrative projects from start to completion to facilitate collaborative efforts
Consistently update office documents and communicate with team about completed tasks
Maintain and update student records
Sufficiently organize data metrics using Google Suites, Microsoft Office Suite, UW Reporting System (B.I. Portal), student Listserv management and canvas

ADMISSIONS SUPPORT

Under the direction and supervision of the Assistant Director, assist and coordinate the management of the student application process
Coordinate, schedule and attend admissions committee meetings with faculty, staff and transfer advisor
Update admissions criteria information
Create Canva graphics and post to social media on application deadlines, quarterly admission updates, and to further student recruiting efforts

SCHOLARSHIP SUPPORT

In collaboration with the Assistant Director, maintain all scholarship submission updates on a quarterly basis
Organize and track student essay submissions
Send email communications to all current and pre-major Business students
Correspond with the Advancement and Financial Aid offices to post recipient selections to social media on a quarterly basis

MINIMUM REQUIREMENTS:

High school graduation or equivalent AND two years of full-time clerical experience (admissions or educational experience preferred) OR Equivalent education/experience

ADDITIONAL REQUIREMENTS:

Comply with University Policies and procedures as they relate to student records under FERPA
Organizational skills and ability to multi-task, and to independently prioritize workload
Strong customer service skills
Demonstrated ability to work as a team player but also comfortable working independently without supervision
Contribute professionally and respectfully to our diverse and inclusive work environment
Experience with technology such as Canva, Adobe Acrobat Pro, Microsoft 365 products, and Google documents, spreadsheets, and presentations or similar technology platforms

DESIRED:

Familiarity with UW databases and policies
Graphic design and social media marketing experience (e.g., Instagram, Facebook, LinkedIn, and Tik Tok platforms)

WORKING CONDITIONS:
This is an in-person position with the possibility of a hybrid work schedule
Must be able to remain in one place, either sitting or using an optional standing desk, for long periods
The desk space for the position is in an open-office environment, with frequent interruptions
Candidate must have access to transportation to reach the UW Bothell program offices in Bothell and Bellevue
Must be able to lift or move up to 25 pounds
