The Global Real Estate & Facilities Management group is looking for a Project Manager to join their team.

RESPONSIBILITIES :

  • Design - space planning, AutoCad test fits, project finish boards, renderings, project presentations and documentation.

  • On-Site job activities as appropriate for the project assigned - supervising furniture delivery and installation; supervising construction trade work; mock-up installation and knockdown supervision; drawing, specification and floor plan confirmations; onsite walk-throughs, punch-list coordination; inventory coordination; weekly site meetings; verification of work performed for invoice approval; change of scope issues; coordination among A&D and construction vendors; scheduling coordination with building and trades; validation / diligence of project costs; building management coordination.

  • Project Documentation - meeting minutes, meeting agendas, project update reports and general correspondence.

  • Project Activities Support - specifications, budgeting, scheduling, bid development, inventory and punch-list analysis, bid leveling, mock-up evaluations, entering lease comments, following up with vendors and other project team members.

  • Project Meeting Support - agenda distribution, taking meeting minutes and meeting notes, preparation of meeting documents, coordinating meeting scheduling, attendance at meetings.

  • Project Global Drive Support - implementation of electronic project folder on the firm's global drive, uploading and maintaining necessary materials and information.

  • Lease Work - reads and understands the lease as well as the construction work letters, tenant guides and construction rules & regulations for related projects.

  • Monitor and action all facility related requests in assigned areas of the real estate portfolio

  • Develop internal network with firm personnel in assigned areas of the real estate portfolio

  • Create and track Purchase Orders related to projects, facilities or other

  • Process and code invoices related to assigned areas of the real estate portfolio

  • Research vendor disputes regarding payment

  • Participate in other projects as assigned by the Director, Global Workplace Strategy & Design

  • Join related associations and participate in association events such as International Facilities Management (IFMA)

  • Coordinate with project team members (internal/external) to ensure alignment within all aspects of the project.

  • Maintain an appropriate level of contact and communication with internal departments, user groups, vendors, project team members, providing and obtaining updates and comprehensive recommendations on assigned projects.

REQUIREMENTS:

  • Bachelor's degree in a related field of study or Business Management

  • Knowledge of project management, furniture design, proficient in spreadsheet and database software applications. AutoCad, SketchUp 3D rendering, Adobe Photoshop and InDesign software experience a must.

  • Strong organizational and analytical skills; oral and written communication skills

  • Demonstrated ability in independent functioning

  • Must be able to lead people and manage tasks

  • Consistently treat others with dignity and respect

  • Must have the ability to multi-task, learn quickly and be a self-starter

  • Maintain high standards of integrity

  • Ability to work independently and in a team-oriented and collaborative environment

  • Display excellence in customer service

  • Demonstrate active listening techniques

  • Ability to manage priorities and workflow successfully
