The Contractor -Administrative Assistantwill support the Clinical Development team in all processes and will perform a wide variety of administrative tasks that include, but are not limited to the following:
DUTIES AND RESPONSIBILITIES
Calendar management and scheduling of external/internal meetings.
Provide logistics support, coordination and setup of meetings, events, etc.
Assist with preparation of meeting materials, presentations, etc.
Coordinate travel arrangements for team members (both domestic and international) utilizing company travel agency/travel management software.
Compile, submit and track expense reports.
Maintain knowledge of company policies/procedures; act as resource to team members.
Order office supplies for the department.
Copying, faxing, filing, mailing overnight/shipping as required.
Team with administrative staff and cover reception desk as needed.
Perform other administrative projects as required or as assigned.
MINIMUM JOB REQUIREMENTS
High school diploma or equivalent; Bachelors degree preferred.
One to three years of administrative assistant experience; preferably supporting a Clinical Department.
Excellent computer skills including demonstrated ability to effectively use MS Word, PowerPoint, Excel and Outlook.
Strong communication skills, both verbal and written.
Must demonstrate a high degree of confidentiality with regard to sensitive information.
Ability to prioritize tasks to achieve established deadlines.
Ability to interface with administrative support team of company.
Must be a self-starter, flexible and be able to multi-task.
Ability to build professional relationships.
Attention to detail; strong organization and follow-up skills a must.
Ability to anticipate needs, and analyze and solve problems quickly and proactively.
Ability to make administrative/procedural decisions and judgments.
Must be familiar with a variety of administrative concepts, practices and procedures.
Must be flexible and adaptable to changing project priorities, work assignments and deadlines.
Must live a commutable distance to our US HQ in Florham Park, NJ.
