The **Strategic Meeting Planner Specialist** position sits within Surgical Robotics under the Professional Affairs Training Education group, it is specifically supporting Professional Affairs and Clinical Education (PACE)activities. In this role he/she will be responsible for planning Health Care Professionals (HCP) customer engagements and procedural training activities in support of HUGO RAS programs. The Strategic Meeting Planning Specialist coordinates all event preparations including working 1:1 with the program manager to clarify event needs of their customers, including managing attendee experience, hotel accommodations, menu selection, air/train/ground transfers, and on-site support while event is in progress as needed. This person will also execute HCP consulting agreements and honoraria payments, while adhering to compliance and regulatory policies. In addition, they will also be responsible for sourcing appropriate event venues, managing, and tracking all event expenses.
**A Day In The Life**
+ Support PACE procedural training activities and daily operational processes for the Americas and other regions including managing travel, transportation, and logistics for HCPs.
+ Directly communicates with HCPs on a daily basis on all aspects of PACE training activities, including confidential information.
+ Manage multiple clinical education processes for HCP engagements; compliance of consulting agreements and documentation required to support advisory boards, procedural development labs and other relevant PACE activities.
+ Lead and facilitate clinical education projects to improve and streamline processes to find efficiencies as needed
+ Manage internal systems for department that may include event management and compliance tracking tools
+ Coordinate data tracking analytics and reporting required.
+ Addresses all aspects of budget and billing ensuring actuals are coded and reconciled accurately in the appropriate system, coordinating payments to vendors, and managing meeting expenses.
+ Facilitate travel related documents including Passport and VISA clearances, submitting all necessary paperwork in a timely manner, according to schedule.
+ Travel up to 10%.
+ Ability to work before and after traditional working hours (e.g. 8-5:00 PM) as well as some weekends to appropriately support events.
+ Work with internal stakeholders as needed on projects and workstreams

**Must Have: Minimum Requirements**
+ Bachelors degree required
+ Minimum of 2years of relevant, customer-facing event and meeting planning experience, or advanced degree with 0 years ofexperience
**Nice to Have**
+ Ability to work self-directed, independently as well as to collaborate on key issues.
+ Experience interactively engaging and effectively working cross-functionally with internal events team members, sales teams, marketing, clinical, research, corporate and leadership levels, and quality
+ Excellent time management, oral and written communication skills
+ Experience with Cvent Event Management, Excel, Word and Powerpoint, and other meeting-industry related applications
+ Recognition for outstanding achievements and/or innovation in the areas of project management, quality, or customer satisfaction
+ Ability to present detailed, technical information to a large group of peers, managers, and senior executives
+ Demonstrated ability to lead, motivate, and influence people outside of direct reporting structure
+ Experience leading process improvements, change initiatives and other projects with demonstrated results
+ Excellent time management, oral and written communication skills
+ CMP designation
+ Demonstrated ability to work effectively with diverse cultures.
+ Proven ability to establish working relationships with all levels of clinical/technical/marketing people in corporate, clinical and academic settings.
+ Excellent planning and organizational skills.
+ Fluent in Spanish and/or Portuguese (not required)
